A safari operator was running paid ads, generating clicks, and pulling leads into their CRM — but had no idea which campaigns, keywords, or tour pages were actually producing bookings. The tracking was dropping off somewhere between the website forms and the CRM. The chatbot — embedded in an iframe separate from the main site — wasn’t passing any attribution data at all. The offline conversion pipeline that was supposed to send closed-deal value back to the ad platform had never uploaded a single conversion. Smart Bidding was running on zero signal.
We rebuilt the entire data pipeline. We fixed UTM mapping from website forms into the CRM, wrote custom code to pass attribution through the chatbot iframe, and built the offline conversion import so that every deal marked “won” sent its value back to the ad platform automatically. We set up destination-based lead routing so incoming enquiries were assigned to the right sales agent without manual sorting — then built a cold-lead re-engagement sequence so quiet leads weren’t forgotten.
Smart Bidding finally had real conversion data to learn from. The sales team could see exactly which tours and channels were driving revenue — and every new lead was routed, assigned, and followed up immediately.
A multi-brand tour operator had eight team members sharing multiple inboxes — sales, booking, partners, suppliers — across two brands and fourteen regions. We diagnosed the root cause: the server was using a polling architecture designed for single-user “fetch and read” — not the push-based, API-first architecture required for a team of eight processing hundreds of emails per day across multiple brands.
We migrated the entire email infrastructure to an enterprise-grade platform — zero downtime, background data migration, 100GB+ of history moved without a single interruption to the sales team. We installed a sync bridge so the new platform’s instant updates translated into the interface the team already knew. The sync issues vanished immediately. Then we built out the sales pipeline: custom deal stages, booking code systems, automated stage transitions based on tour dates, and segmentation by tour type, brand, and region. Their self-guided division was converting 40% of enquiries into confirmed bookings — but until we built the pipeline, they had no way to see that number or act on it.
